Project Coordinator – Industrial & Government Projects

RESPONSIBILITIES AND DETAILS:

  • Coordinate and track all project activities from order processing through completion, ensuring accuracy, timeliness, and alignment with contract requirements.

  • Support Project Managers with planning, scheduling, critical path reviews, subcontractor coordination, and project documentation.

  • Procure and track project materials, equipment, parts, and subcontracted services, ensuring timely delivery and availability for field teams.

  • Communicate project scope, schedules, and expectations with employees, subcontractors, and customers; schedule and attend project meetings as required.

  • Prepare and distribute meeting minutes, notes, reports, and project updates to internal and external stakeholders.

  • Maintain strong professional relationships with customers, vendors, and subcontractors, representing EST’s mission, vision, and quality standards.

  • Monitor subcontractor progress, verify work against scope and schedule, and escalate risks such as scope creep, delays, or budget concerns.

  • Maintain and update all project documentation, including schedules, logs, reports, and compliance records.

  • Coordinate base passes, credentials, and access requirements for EST personnel and subcontractors working on military or government sites.

  • Identify opportunities to promote EST products and services and communicate them to the sales team.

  • Maintain assigned company property (vehicle, computer, tools) and ensure proper care, security, and accountability.

Requirements

  • 1–3 years of successful project coordination or project management experience, preferably in industrial, construction, or government‑related environments.

  • Associate’s or Bachelor’s degree preferred; equivalent experience considered.

  • Strong understanding of mechanical, electrical, plumbing, or electronic systems is a plus.

  • Ability to troubleshoot equipment at a basic level and support field teams with problem‑solving.

  • Excellent communication, organization, and customer‑service skills; able to work independently with a sense of urgency and accountability.

  • Proficient with Microsoft Office and general computer applications; experience with project tracking tools preferred.

  • Must have a valid driver’s license and clean driving record; may be required to drive long distances.

  • Ability to obtain and maintain military base access and other required credentials.

PHYSICAL & WORK ENVIRONMENT EXPECTATIONS:

  • Ability to routinely lift up to 50 lbs., and occasionally up to 100 lbs.

  • Comfortable working outdoors in various environmental conditions.

  • May involve exposure to hazardous materials, equipment, and active industrial environments.

  • Ability to maneuver around moving vehicles, machinery, and construction‑site obstacles.

  • Ability to climb ladders (300 lb. weight limit) and perform physical tasks such as standing, crouching, crawling, and balancing.
